Job Description
The Administrative Assistant assists with daily clerical and office functions, community service, filing, reception and some activities assistance as needed at our affordable housing community for elderly residents.
Note: This position is "Full Time" Temporary with the possibility of converting to Regular, Full-Time status. For this Temporary position, Covia works with our preferred staffing agencies for temporary payrolling services.

  • Overseas all aspects of general office coordination and assist with overall maintenance/operations of the business office.
  • Will assist in all administrative function, programming, community service, filing, writing letters and other clerical tasks.
  • Greets and assists visitors, vendors, residents and employees, and routes telephone calls and takes messages
  • Sends out notices to Residents, gathers papers, writes letters and memos, creates forms and flyers.
  • Process and routes mail and newspapers on a daily basis
  • Processes resident reservations and charge slips, and forwards charge slips.
  • Collects money for stamps, copies, and faxes from residents as needed.
  • Will also provide support with resident activities as needed.
  • Other administrative duties as needed as assigned.
Knowledge, Skills, and Abilities
  • Some apartment building or property front office experience is preferred.
  • Bilingual or Fluency in Mandarin/English or Cantonese/English highly preferred
  • Must be computer proficient and have Microsoft Office experience, or be able to learn new computer skills
  • Must have strong organizational and writing skills, and be able to draft letters and notices to residents
  • Must have flexibility in changing administrative duties and juggling multiple tasks and projects as assigned
  • Must have strong work ethic, be dependable and punctual
  • Must be a team-player and be able to get along with staff in a small office setting, as well as assisting residents coming to the front desk with questions.
  • Must be extremely professional at all times as you will be representing the front office.
  • Parking is difficult so candidate should be ok with taking public transportation to get to work. Near a Muni bus line.
Education and Qualifications
  • Requires at least 1-2 years of experience in administrative/office role, preferably in an apartment building or property management/front office setting.
  • Prefer at least one year of experience working directly with elderly and seniors
  • Property Management, HUD or affordable housing experience is not required, but helpful if have.
  • Must possess a High School Diploma or equivalent
